Study Sharing: Grant specific people or teams access to individual studies with different permission levels. Teams: Groups of users that can be granted collective permissions. Share once with a team instead of individually. (refer to Manage organization for more details on how to set this up) Permission Inheritance: Users get the highest level of access from any source - organization role, individual shares, or team memberships.Quick Reference
Study Sharing Roles:- Full access: Share, delete, edit, view
- Editor: Edit and view
- Viewer: Read-only
- Organization admins get full access to everything automatically
- Study creators get full access to their studies
Sharing Studies

- Full access: Complete control including sharing and deletion
- Editor: Edit topic guide and view results
- Viewer: Read-only access
- Organization admins (all studies in organization)
- Study creators (studies they create)
How to Share
- Open the study
- Click Share
- Enter email or select a team
- Choose role (Full access, Editor, or Viewer)
- Click Share
- Use Full access sparingly - only for those who need to manage sharing
- Default to Editor for active collaborators
- Use Viewer for those who just need visibility
- Share with teams rather than individuals when possible, note that a team permission overrules an individual permission (see example)
Troubleshooting
Can’t see a study you should access?- Verify you’re in the organization
- Check if shared with you individually or via team
- Confirm your organization role (Viewers see all studies)
- You have Editor access, need Full access to share
- Ask someone with Full access to upgrade your permissions
- Verify they’re actually in the team (Settings → Organization → Teams)
- Confirm study was shared with correct team
- Try refreshing browser
- Verify you’re an Admin (Settings → Organization → Members)
- Confirm study belongs to your organization
- Try refreshing browser
- You need Approver or Manager access
- Requester role can only request spend and view transactions
Sharing Conversations
Conversations in Talk to Your Data (the AI assistant) support full sharing with privacy controls.Sharing Levels
- Private: Only you (the owner) can access the conversation
- Shared: Specific users or teams can view or edit
- Organization-wide: Everyone in your organization can access
How to Share
- Open any conversation in Talk to Your Data
- Click the Share button
- Choose who to share with (specific users, teams, or entire organization)
- Select permission level (Viewer or Editor)
- Click Share
Making Conversations Private
To restrict access to a previously shared conversation:- Open the conversation
- Click Share
- Remove users/teams or revoke organization-wide access
- The conversation returns to private (owner-only) access
